Wasting time on email

Indus Khaitan of The Morpheus sent me an interesting post on “How we waste time on email”.

The inbox, used appropriately, can be one of the most successful productivity tools of all time.  For most of us, however, it ends up being a huge time sink.

Yes, true!

We found there were a number of deadly pains of email, but probably the biggest one was trying to keep track of complex interdependent tasks where you have to contact other people and involve them in a network of obligations…

Yes, yes, yes.

One of the reasons such “networks of obligations” are so taxing, Bellotti says, is that crucial information may be in any one of the replies, and it’s difficult for the recipient to remember just where. Thus, copious amounts of time are spent scrolling through the thread looking for that critical project deadline or contact number. She estimates that about 20% of the time in email “is spent either organizing stuff of trying to find stuff.”

A messaging system (a.k.a email) that used to be a one on one tool has been transformed into a tool that project managers and teams love. True, it is easy to email tasks and project messages around but as the complexity increases, so will the frustration of finding things. They say time is money.

This was the whole point we created DeskAway and our one line pitch is still the same:

Sharing Project Information with Clients

When we started DeskAway we always kept user permissions in mind - the stuff about ‘can my team member see other people’s projects’ or ‘can a task, file or doc shared with one person be seen by my client’ ? It is the way we liked to work and thought others would appreciate it too.  You obviously don’t want to share everything with everybody.

The question of ‘can my clients see tasks assigned to ABC’ pops up pretty frequently in our support tickets and so we thought of getting a simple video out to show that tasks within DeskAway are permission-driven. You can rope in your clients (you should add them as Limited Users) to collaborate on your projects but have them only see things that you want them to see. Here is a quick video of how this is possible:

How are you using DeskAway and what value is it providing your team?
We use DeskAway to manage all tasks and milestones related to our product roadmap along with the to-do lists. It helps us to get organized and have a clear focus on deliverables.

DeskAway helps us to reduce the communication over-head amongst our team and also helps developers to easily manage there work items. The milestones feature is useful to define and track progress.

Were you using any other tool before DeskAway?
We were using Basecamp before moving to DeskAway.

Was there a learning curve associated with DeskAway? How did your team adapt to a new application?
I would say it takes less than 5 minutes to adapt to DeskAway. We really love the help section for each feature in the product, which helps anyone to get started easily.

What features does your team use the most?
We use Milestones, Task Lists, Email Comments and Work Progress Reports.

Are you emailing (sending tasks, attachments etc.) less because of DeskAway?
Yes, it helped us to cut down back & forth emails on to-do items and follow ups.

How has DeskAway helped in lowering project costs, profitability or improving efficiency?
It certainly helped us to improve the team/delivery efficiency since everybody is on the same page on product goals and milestones. This is very critical for startups and SME’s.

Are there any other thoughts that you would want to share with us regarding our service, product etc.?

This is a good article that we came across and thought you might be interested as well - especially, if you multi-task a lot!

Multitasking is the art of distracting yourself from things you don’t really want to do by doing many of them at once.

If you’re like most people, you think you’re getting a lot more done when you juggle a ton of to-do’s.

You’re not.

At best, you’re doing slightly less than you would if you kept your eyes set on a single task. At worst, you’re stuck running around the hamster wheel, and will be for a while.

Learn to stop multitasking and you will be able to do far more with the same amount of minutes, while maintaining the steady, gradual steps that will inch you closer to the life you really want to live.
